Best CRM for local service businesses: shortlist by the workflow you need to protect

The right CRM is the one your office can keep accurate between enquiry, estimate, follow-up, won work, and the handoff into field operations. This guide separates that decision from dispatch, job completion, invoicing, and payments.

Evidence note: This is a workflow shortlist, not a universal ranking. Vendor pricing and features were checked against current official pages. Direct, same-account scenario tests remain open, so no numerical score or guaranteed winner is published.

First choose the operating model, then the CRM

Current search results often place sales CRMs and complete field service platforms in one list. They solve different first failures. Use the operating model below to avoid buying a pipeline tool for a dispatch problem, or a field platform for a sales process that needs deeper follow-up control.

CRM does not mean field service management

A CRM should own lead identity, sales ownership, communication history, deal stage, next activity, and the evidence behind won or lost outcomes. It should not silently become the source of truth for technician status, route sequencing, job forms, job costing, invoice corrections, or payment reconciliation.

  • Declare which system owns the customer, estimate, job, invoice, payment, and deletion record.
  • Define the exact event that creates a job after a deal is won.
  • Prevent duplicate customers when forms, imports, and integration retries collide.
  • Keep one visible recovery queue for failed or delayed handoffs.
  • Export records and configuration before approving a production migration.

Price the month 12 system, not the entry plan

Pipedrive currently publishes a 14-day trial and per-seat plans, with full email sync and automation beginning above the entry tier. monday CRM uses its own product, plan, seat, and regional purchase controls. A useful comparison therefore starts with the workflow and the expected month 12 team, not two headline prices.

A one-week CRM pilot

  1. Import ten fictional leads with intentional duplicates and missing fields.
  2. Assign every lead, schedule the next activity, and record a lost reason.
  3. Run one estimate follow-up sequence with reply and opt-out stop conditions.
  4. Convert one deal into a test job and force one failed integration retry.
  5. Edit a record offline on mobile, reconnect, and inspect the conflict result.
  6. Export contacts, organizations, deals, activities, notes, files, fields, and automation records.
  7. Calculate the complete year-one and year-three cost for the month 12 team.
